Creating Client Profiles in Omnipractice: Individual/Adult, Minor, and Couple.

Managing different types of client profiles is easy with Omnipractice. Whether you're adding an individual, a couple, or a minor (child) and their guardians, the platform guides you through every step. Let's walk through the process of setting up each profile type, organizing your practice and client information efficiently.

Creating an Individual (Adult) Profile

Step 1: Click the Create button on the dashboard.

Step 2: In the pop-up window, select Client to start creating a profile.

Step 3: Enter the client's name and date of birth. If the date of birth shows the client is a minor, Omnipractice will prompt you to create a minor profile instead.

Step 4: Enter an email address. If you include one, the client will receive an invite to join the client portal.

Step 5: Select the Client Type—this helps automate sending out the right intake forms and information.

Step 6: Assign one or more clinicians to the profile.

Step 7: Choose the Payment Type (Self Pay or Insurance).

Step 8: Click Continue. You’ll see the new individual client profile.

Creating a Couple Profile

Step 1: Click Create Client and select Couple.

Step 2: Enter the details for the first partner, including date of birth, email, client type, assigned clinicians, and billing responsibility.

Step 3: Click Next to add information for the second partner, such as contact details and clinician assignment. Mark billing responsibility if needed.

Step 4: Click Next to finish creating the couple profile. Omnipractice also generates individual profiles for each partner.

Step 5: To switch between couple and individual profiles, use the dropdown on the right.

Step 6: Head to Info and Setting to view or edit individual or couple profile details.

Step 7: Under the payment section, select which partner is responsible for billing. Add multiple insurances if needed.

Step 8: Save your entries. While scheduling, choose between the couple profile (for joint sessions) or individual profiles.

Step 9: To remove an individual profile from active use, mark it as inactive.

Creating a Minor Profile with Guardians

Step 1: Click Create Client and choose Minor.

Step 2: Enter the minor client's details, including date of birth. If the date doesn’t qualify as a minor’s age, you'll be notified to create an adult profile.

Step 3: Add an email for portal access, client type, and indicate if the minor is responsible for billing (usually left unchecked).

Step 4: After entering minor’s details, click Next. Now add guardian information.

Step 5: Click Add Guardian. Choose an existing client or add a new guardian, specifying their relationship to the minor.

Step 6: Enter guardian’s name, email (for portal access), and phone number.

Step 7: Assign billing responsibility. If there are multiple guardians, select who is responsible.

Step 8: Click Next to create the minor profile.

Step 9: Check guardian status and review minor and guardian details under Info and Setting.

Step 10: Add more guardians if needed.

Step 11: Go to Payment to set up billing responsibility and insurance details.

Step 12: Manage guardian information—add or select more guardians as needed.
